Client information

Client & Contact Details

Please complete the details below. These will be held securely for the duration of our work together.

Nature & Scope of Coaching

Therapeutic coaching is a collaborative, goal-focused, future-orientated process. We work to clarify outcomes, explore patterns and strengths, and agree experiments between sessions. Coaching is not psychotherapy, counselling, medical treatment, legal or financial advice. Where wellbeing concerns suggest therapy or other services may be more appropriate, I will discuss options and, if you wish, signpost you.

Coaching vs Therapy & Boundaries

  • Our work here is contracted as coaching. If you request psychotherapy, we would create a separate agreement and not switch roles mid-engagement without explicit discussion.
  • Coaching addresses goals, performance and development; it may touch on personal history where relevant to change.
  • Diagnosis, treatment and crisis care are outside scope. Please contact your GP or emergency services if you need urgent help.

Confidentiality & Its Limits

I abide by the EMCC Global Code of Ethics. What you discuss is confidential. Confidentiality may be broken only where required by law or where there is a serious and immediate risk of harm to you or others.

Supervision & Reflective Practice

I engage in regular supervision and reflective practice in line with EMCC standards to maintain quality and ethical practice.

Privacy & Data Protection (UK GDPR)

I collect and process only the minimum personal data needed to provide coaching and manage appointments. Data are stored securely, accessed only when necessary, and retained no longer than necessary. You have rights over your data (access, rectification, erasure, restriction and portability) subject to lawful bases and record-keeping obligations.

See the Privacy Notice for full details and the UK Information Commissioner’s Office (ICO) guidance.

Record Keeping & Retention

I keep brief, factual notes of sessions and basic contact/administrative details in keeping with professional responsibilities. Coaching notes are kept separate from psychotherapy notes (if any).

Fees, Packages & Payment

  • Fees are as quoted at booking. Package inclusions (sessions, between-session support, materials) are set out in your proposal or booking confirmation.
  • Payment by BACS or secure card link is due at least 48 hours before the first session (or as per invoice terms for sponsors).
  • Where a sponsor funds coaching, you remain responsible for any unpaid fees not covered by the sponsor.

Rescheduling, Cancellations & Lateness

  • Please give at least 48 hours’ notice to reschedule or cancel. Late cancellations and missed sessions are chargeable.
  • Session times are fixed; arriving late may reduce your time so that the next client is not delayed.

Between-Session Contact & Support

Where included in your package, light between-session support (for example, brief check-ins or reviewing exercises) is available during office hours. It is not continuous or crisis support. Turnaround times and channels will be agreed (e.g., email within 1–2 business days).

Online Coaching & Technology

Please ensure a private, quiet space with a stable internet connection. Do not record sessions without written consent. If technology fails, we will attempt to reconnect or continue by phone where appropriate.

Corporate / Sponsored Coaching

Where a sponsor (e.g., employer) is involved, we may agree a three-way meeting to align goals and boundaries. Your privacy is respected: I may provide brief progress updates on goals to the sponsor only with your informed consent, and not disclose personal content.

Wellbeing, Emergencies & Risk

I am not an emergency service. If you are at immediate risk or feel unable to keep yourself safe, contact 999 or go to your nearest A&E. For urgent but non-emergency help contact NHS 111, your GP, or the Samaritans (116 123). We can use sessions to plan ongoing support and signposting.

Outcomes & Responsibility

Coaching facilitates learning and change; outcomes depend on your engagement and actions between sessions. No specific results are guaranteed. You remain responsible for your decisions and for seeking specialist advice where needed.

Feedback & Complaints

Feedback is welcome at any time. If you wish to make a complaint, please raise it with me first. If unresolved, you may contact the EMCC Global complaints process for further guidance.

Agreement & Signatures

By signing, you confirm that you are over 18 and that you have read, understood and agree to the terms above. You consent to the processing of your personal data for the purposes of coaching as described.
